Rules of participation

§ 1

GENERAL PROVISIONS

1.   The Regulations define the conditions for participation in the Conference under the name of the 17th World Congress for World Federation for Laser Dentistry organized by the Polish Society for Laser Dentistry with business and correspondence address at ul. Domki 10, 31-519 Kraków NIP: 6772383814, e-mail address: biuro@ptsl.com.pl

2.   The conference will be held on 14th-16th of April 2023 at the Faculty of Pharmacy of the Medical University of Wrocław, ul. Borowska 211, 50-556 Wrocław

3.   Privacy Policy – defines the method of data processing. The Privacy Policy is attached as Annex 1 to the Regulations.

§ 2

DEFINITIONS

 1.   For the purposes of these Regulations, the following definitions have been specified:

 a)   Regulations – this document containing a set of rules and conditions for participation in the Conference, available on the website at: https://wfld2023.com/

b)   Organizer – meaning the Polish Society for Laser Dentistry with business and correspondence address at ul. Domki 10, 31-519 Kraków NIP: 6772383814,

c)   Conference – meaning the Conference organized by the Organizer under the name: the 17th World Congress for the World Federation for Laser Dentistry held at the Faculty of Pharmacy of the Medical University in Wrocław, ul. Borowska 211, 50-556 Wrocław

d)   Registration – meaning reporting to the Organizer the willingness of a given person to participate in the Conference by filling in the Application Form.

e)   Application Form – meaning the form available on the website: https://registration.wfld2023.com through which the Registration takes place.

f)    Confirmation of Application – a message sent by the Organizer to the e-mail address provided by the Participant during the Registration process, confirming the Registration.

g)   Participant – meaning a natural person specified in the Application Form.

 §3

TECHNICAL REQUIREMENTS

 1.   Registering for the Conference and browsing of the Conference’s website requires an Internet connection using a personal computer or mobile device with access to browsers:

– Mozilla Firefox version 70 or higher,

– Google Chrome version 70 or higher,

– Safari version 12 or higher,

– Opera version 66 or higher.

 § 4

TERMS OF PARTICIPATION

 1.   The condition for participation in the Conference is to register via the Application Form available on the Conference website at: https://registration.wfld2023.com and to pay the fee for participation in the Conference.

2.   To register, the Participant should complete and send the Application Form on the website.

3.   The scope of the System’s operation includes the service consisting of storing the User’s registration in the database, as well as handling this registration (consisting in collecting, recording, storing, updating, supplementing, and deleting this data) by the Organizer.

4.   Each Participant will receive a Confirmation of Participation – a certificate of participation in the Conference. The Participant authorizes the Organizer to send the certificate by e-mail.

5. The Congress is an international event, and the main language of all events related to the Congress (including lectures, workshops, congress materials, and congress book) is English. The organizer of the event will provide simultaneous English to Polish translation in the main congress hall (Room W1, Faculty of Pharmacy of the Medical University of Warsaw in Wrocław) on April 14-16, 2023. The congress workshops will be conducted in English or Polish, depending on the language shown in the Congress program via placements of the Polish or English flags next to the topic of the workshop on the congress website.

 § 5

COMPLAINTS

 1.   All complaints of the Conference Participants against the Organizer should be submitted in writing via e-mail or to the address of the Organizer’s office and should include: name and surname of the person submitting the complaint, correspondence address, e-mail address, telephone number, subject of the complaint, date of the event, the indication of the factual circumstances justifying the complaint.

2.   Complaints may be submitted by the Conference Participant no later than within 3 days from the end of the Conference.

3.   No complaints will be considered after the above-mentioned deadline.

4.   The Organizer considers the complaint within 14 working days from the date of submitting the complaint and communicates its position to the entity submitting the complaint in the form in which the complaint was submitted.

 §6

PAYMENT

 1.   Participation in the Conference is payable. The cost of participation is between EUR 64 and EUR 200 gross.

2.   The conditions of participation, prices, or discounts are specified when registering at the Registration stage.

3.   The price includes participation in the Conference, certificate, and training materials.

4.   The price may include 23% VAT.

5.   If you have additional questions, please contact the person or persons indicated on the Registration website.

6.   The Participant may receive a VAT invoice.

7.   The cost of stay and travel is covered by the Participant.

 §7

PAYMENT METHOD

 1.   Electronic payments and card payments via Tpay.

OBLIGATIONS OF THE PARTICIPANTS

 1.   The Participant is obliged to read the Regulations.

 §9

CANCELLATION

 1.   The Participant may not resign from participation, and the Organizer will not refund the paid registration fee. The Participant may waive participation in favor of another person. The absence of a Participant at the Conference is not equivalent to resignation from participation in the Conference.

 §10

RESPONSIBILITY

 1.   The Organizer declares that the content provided by the Organizer during the Conference is purely educational. The Organizer is not liable for damages caused to Participants or third parties in connection with or as a result of the Participants’ use of information, knowledge, or skills acquired during the Conference.

2.   If the Conference does not take place for reasons solely attributable to the Organizer, the Organizer shall immediately inform the Participant of this fact.

3.   The Organizer reserves the right to change the Conference program, change the Speakers, and cancel the Conference in the event of random events beyond the control of the Organizer. In the event of cancellation of the Conference, information about this fact will be provided to the registered Participants, and the participation fees will be refunded by bank transfer.

§ 11

RULES OF IMAGE, VOICE AND STATEMENT USE

 1.   The Organizer declares and the Participant agrees that the course of the Conference will be recorded in the form of an audiovisual recording and/or photos, and the works created in this way will be used for broadcasting in the mass media (television, radio, Internet, press, etc.) or for the purposes of documentation, promotion, advertising: the Organizer and other persons indicated by the Organizer, as well as the Conference itself (commercial use).

2.   The Organizer informs that the registration of the works referred to in §11.1. will take place throughout the facility where the Conference will be held, unless the Organizer clearly delimits recording-free zones.

3.   The Participant authorizes the Organizer to use his or her image and/or voice and statements (if the Participant provides such during the lecture discussions and/or to the camera) and disseminate them as elements of the above-mentioned works for the purposes listed in paragraph 1 above, and hereby grants non-exclusive and free consent, without time and territorial limitations, for the use by the Organizer and all entities authorized by the Organizer in various fields of exploitation of works, in particular:

– recording on any audiovisual medium (on video carriers, photosensitive tape, magnetic tape, and computer disk, in a multimedia network, including the Internet),

– reproduction with any technique,

– public display, playback, broadcasting and rebroadcasting,

– borrowing, renting, lending media on which the image, voice, speech has been recorded,

– introduction to computer memory and multimedia network,

– use on various types of websites (including the Organizer’s website).

 §12

FINAL PROVISIONS

 1.   The Organizer makes the content of the Regulations available before concluding the Agreement.

2.   The Organizer reserves the right to make changes to the Regulations.

3.   Each new regulation is valid for people who have not yet signed up for the Conference or have accepted the new Regulations.

4.   The number of Participants at the Conference is limited. The order of applications decides about participation in the Conference.

5.   The Organizer reserves the right to exclude from participation in the Conference Participants who violate any provisions of these Regulations, in particular:

a)   undertake activities that are against the law, morally or against the legitimate interests of third parties;

b)   take actions aimed at including or indicating an attempt to circumvent the Regulations or the rules of holding the Conference;

c)   take actions that violate the legitimate interests of the Organizer or harm its image.

6.   In matters not covered by these Regulations, the provisions of the Civil Code shall apply accordingly.

7.   In the event of a change or annulment of any of the provisions of the Regulations as a result of a final court decision, its remaining provisions shall remain in force.

8.   Any disputes between the Organizer will be settled first amicably, and then by the court competent for the seat of the Organizer.

9.   The Organizers are not responsible for the Participants’ belongings that may be lost, damaged, or stolen during the Conference.

10. The Privacy Policy is an integral part of the Regulations. The provisions regarding amendments to the Regulations shall apply accordingly to changes in the content of the Privacy Policy.

e)   Application Form – meaning the form available on the website: https://cdregistration.esthetic2023.com through which the Registration takes place.

f)    Confirmation of Application – a message sent by the Organizer to the e-mail address provided by the Participant during the Registration process, confirming the Registration.
